Welcome to Paradise and Providence! We are so happy that you’re here.
As a faith-led destination wedding and travel planning team rooted in Pacific values, we believe in operating with warmth, clarity, and integrity.

These Terms and Conditions (“Terms”) are designed to ensure a clear understanding between you (“the client” or “you”) and Paradise and Providence (“we,” “us,” or “our”) as we embark on the journey of planning your celebration and travel. By using our website or engaging our planning services, you acknowledge that you have read, understood, and agree to be bound by these Terms. If anything is unclear, we encourage you to reach out. We’re here to help and believe that open communication is the best foundation for a successful partnership.

Scope of Services

Paradise and Providence provides bespoke destination wedding planning and travel coordination services, specializing in celebrations across Fiji, Hawai‘i, and other Pacific destinations. Our services include, but are not limited to: identifying and securing venues and accommodations, connecting you with trusted local vendors (such as makeup artists, photographers, officiants, etc.), coordinating group travel logistics (transfers, excursions), and offering guidance on itineraries and cultural or faith-based elements to enrich your experience. We handle the logistics and details with heart and purpose, so you and your guests can fully embrace the journey and joy of your event. At this time we do not book flights. 

Important Clarifications: We are a planning and coordination service provider. This means we facilitate and arrange elements of your wedding, celebration and travel on your behalf, but we do not own or control the hotels, service providers, venues, or other third-party services that you’ll be using. Our website serves as an informational and inspirational platform, featuring blog content, destination guides, and a portal for inquiries but does not currently offer direct online booking of travel or events. Any bookings or purchases we coordinate will involve third-party suppliers and are governed by those suppliers’ terms (more on that in sections below).

By understanding the scope of our role, you can better appreciate how our Terms protect both you and us throughout the planning process

Use of Our Website

You are welcome to explore the Paradise and Providence website, read our blog articles, and use our inquiry forms. We strive to ensure all information on our site is accurate and up-to-date, but it is provided for general guidance and inspiration only. Before relying on any travel tips or destination information on our site, please double-check details with official sources or with us (for example, entry requirements can change, resort amenities may update, etc.). Your responsibilities when using our site include:

  • Lawful Use: You agree to use our website only for lawful purposes. Do not attempt to misuse the site, hack into secure areas, or engage in any activity that could harm our website or its users.

  • Intellectual Property: The content on our site (text, images, logos, and design) is owned by Paradise and Providence or used with permission. You may not reproduce, distribute, or republish our content for commercial purposes without our written consent. Feel free to share our blog posts or social media content for personal inspiration, but please give proper credit.

  • Third-Party Links: Our website or blog may include links to third-party websites or resources for your convenience (such as articles about Pacific travel, or vendor websites). We do not control these external sites and are not responsible for their content or any issues that arise from using them. Visiting those sites is at your discretion, and they will have their own terms and privacy policies.

Client Responsibilities & Commitments

Creating a seamless destination wedding or travel experience is a collaborative effort. We will lead with heart, diligence, and expertise, and kindly ask that you, as the client, fulfil the following responsibilities to help us serve you best:

  • Provide Accurate Information: Share complete and correct information with us regarding your event vision, guest count, budget, travel preferences, and any important personal circumstances. This includes notifying us of any faith-based or cultural elements you wish to incorporate, as well as any dietary requirements, mobility needs, or other special requests for you or your guests. Accurate information enables us to tailor our planning to your needs.

  • Timely Communication: Respond to our questions, proposals, and requests for decisions in a timely manner. Planning a destination wedding/trip involves many time-sensitive elements (e.g., booking vendors or transfers before they fill up). Your prompt feedback helps keep everything on track. Similarly, inform us as soon as possible if your plans or circumstances change (for instance, if you decide to adjust your travel dates or guest list). Open and timely communication is key to a successful partnership.

  • Travel Documents & Compliance: Ensure that you and all travelers in your party have valid passports (with at least six months validity beyond the travel dates, if required), as well as any necessary visas or entry documents for the destination country. It is also your responsibility to meet health and safety requirements, such as vaccinations or COVID-19 tests if applicable. We can provide general guidance, but you are ultimately responsible for obtaining and carrying the correct documentation. Paradise and Providence is not liable if you or your guests are denied boarding or entry to a country due to lack of proper documents or legal eligibility.

  • Payments on Time: Adhere to agreed payment schedules for both our planning fees (detailed below) and any deposits or balances due to third-party vendors (hotels, cruises etc.). Missing a payment deadline could result in cancelled reservations or added costs. We will clearly communicate all due dates and amounts during the planning process, your diligence in meeting those dates is essential.

  • Respectful Conduct: We kindly expect that you and your traveling guests conduct yourselves respectfully and safely throughout the journey. This includes respecting local customs, laws, and the natural environment of your destination (a principle dear to our hearts in the Pacific community). Should any member of your party engage in illegal or grossly inappropriate activities that disrupt the planning process or trip, Paradise and Providence reserves the right to withdraw our services (after reasonable attempts to address the issue) for the safety and integrity of all involved. In such a rare case, our standard cancellation policy would apply.

  • Use of Advice: Any suggestions we provide (for example, packing tips, marriage license procedures, or activity recommendations) are offered in good faith to enhance your experience. It remains your choice and responsibility to follow through on such advice and to verify any critical requirements with official authorities (such as local marriage laws or travel advisories).

Planning Fees & Payment Terms

We take on a limited number of clients to ensure each wedding and journey receives our full devotion. When you’re ready to secure Paradise and Providence as your planner, we will require payment of a planning fee (sometimes called a retainer or service fee). The specifics of your fee and payment schedule will be discussed and agreed upon in writing (for example, in a proposal or invoice) before we begin. Here are our general policies regarding fees and payments:

  • Non-Refundable Planning Fees: All planning fees are non-refundable. This is because from the moment you engage our services, we dedicate significant time, care, and creative energy into designing your wedding and travel experience. Planning a destination event involves extensive behind-the-scenes work – from research and vendor communications to crafting personalised itineraries, much of which is done long before the actual event date. Therefore, if you decide to cancel our planning services or the event itself (for any reason other than an extreme emergency, discussed below), the planning fee will be retained by Paradise and Providence as compensation for work already performed. In other words, change of mind or change of plans on the client’s part does not entitle a refund of the planning fee. We appreciate your understanding of this policy, which is standard in our industry and reflects the bespoke nature of what we provide.

  • Emergency Policy – Partial Waiver: We are compassionate people and recognize that life can take unexpected turns. In the event of a genuine emergency or tragedy (for example, a serious illness, bereavement, or other catastrophic circumstance that forces a complete halt to your wedding/travel plans), please talk to us. At our sole discretion, we may consider waiving or refunding a portion of our planning fee, proportional to the work not yet completed. We will require documentation of the situation (if appropriate) and will assess on a case-by-case basis. Our heart is to be fair and supportive, but please note that we cannot guarantee any refund, especially if a substantial amount of planning work has already been done. Any decision to offer a partial refund in an extreme case would be a goodwill gesture and does not change the general non-refundable nature of our fees.

  • Payment Schedule: Typically, a deposit or full planning fee is due upfront to secure our services and your event date in our calendar. Depending on the scope and timeline of your event, we may structure the fee in multiple instalments (e.g., 50% deposit and 50% at a later milestone) this will be clearly outlined in your service agreement. All invoices must be paid by the due dates stated. We accept payment via bank transfer, PayPal, or credit card methods, and will provide receipts for each payment. If a payment is not received on time, we reserve the right to pause planning work until the account is brought up to date, and/or to treat it as a cancellation if the delay is excessive (with prior warning to you). Any bank fees, transfer fees, or credit card processing fees (if applicable) will be your responsibility or will be clearly indicated in our billing.

  • Additional Costs: Our planning fee covers the professional services we provide directly. It does not include the costs of your actual wedding or trip components (for example, hotel bookings, transfers, venue rental, makeup, photography etc.). Those are third-party costs that will either be paid by you directly to the vendors, or routed through us to the vendors (see “Third-Party Vendors & Suppliers” below for more details). We do not up charge third-party costs without disclosure, any commissions or referral fees we might receive from travel partners will be made known to you, or used to offset your costs, in line with our commitment to honesty. If during the planning process you request additional services beyond the original agreement (for instance, adding extra events, trips, or significant revisions to plans), we will discuss any additional planning fees or adjustments that may be required before proceeding. No surprise fees, transparency is important to us.

  • Currency and Taxes: All fees will be quoted in New Zealand Dollars (NZD) (or another currency if explicitly stated) and include any applicable taxes unless noted otherwise. Since we are based in New Zealand (soon expanding to Hawai‘i), please be aware that exchange rate fluctuations or international bank fees might slightly affect the final amounts if you are paying from overseas. We will work with you to find convenient payment methods to minimize any extra costs.

In summary, once you decide to partner with us, your planning fee secures our dedicated time and expertise. That fee is generally non-refundable as it accounts for the effort we put forth from the start. We highly encourage you to ask any questions and be sure of your decision before committing to our planning service. We are absolutely committed to making this experience worthwhile and wonderful for you

Bookings with Third-Party Vendors & Suppliers

One of the benefits of working with Paradise and Providence is gaining access to our network of trusted vendors and suppliers across the Pacific. We will handle the legwork of sourcing and coordinating these services on your behalf. It’s important to understand, however, that any bookings we arrange involve third-party companies (such as hotels/resorts, tour operators, wedding venues, transport companies, independent photographers or caterers, etc.). Each of these suppliers will have their own terms and conditions governing things like payment schedules, cancellation policies, and liability.

Here’s what you need to know about third-party arrangements:

  • Separate Supplier Terms: When we propose a booking (for example, a room block at a resort, or a group boat transfer, or a contract with a makeup artist), we will communicate to you the key terms of that supplier (deposit amount, when final balances are due, how cancellations are handled, etc.). By confirming that booking, you are essentially agreeing to that supplier’s terms in addition to our own. Each supplier’s cancellation and refund policies will apply to their portion of your wedding/travel. Paradise and Providence cannot alter a third-party’s policy (for instance, if a transfer is non-refundable per the fare rules, that is beyond our control). We will, of course, make every effort to negotiate favorable terms for you where possible and to keep you informed.

  • Payment Flow: In some cases, you will pay the vendor directly (for example, a venue may require you to pay them a deposit by a certain date, or we may connect you with a travel agent partner to pay for flights). In other cases, especially for travel arrangements, you might pay us and we, in turn, pay the supplier. We will clarify the process for each transaction so you know exactly where your money is going. If payments are made through us for a supplier, we hold those funds in trust and forward them to the supplier; we are acting as an intermediary. Important: Once a payment is forwarded to a supplier, any refund of that payment (due to cancellation or otherwise) will be governed by the supplier’s terms. We will assist in requesting refunds when applicable, but we are not financially liable if a supplier fails to provide a refund for their portion.

  • Vendor Selection: We take great care in recommending vendors who align with our quality standards and values. However, the final choice of each vendor is ultimately yours. If you have a preferred vendor not on our list, we can work with them too. We cannot guarantee the performance of any third-party vendor (as they are independent businesses), but we will coordinate closely, communicate your needs clearly, and follow up on deliverables. If any issues arise with a vendor (for example, misunderstandings or service concerns), inform us and we will do our best to facilitate a resolution. Your happiness is our priority, and we’ve got your back in vendor communications.

  • Third-Party Performance and Liability: Paradise and Providence is not liable for the acts, omissions, errors, or failures of third-party suppliers. This means that any injury, loss, delay, or dissatisfaction that stems from a third party’s service (such as a hotel being overbooked, or a vendor not meeting expectations) is beyond our direct control. The remedy for such issues typically lies in the terms or insurance of that supplier. We will, of course, support you in navigating any such situation, for example, we can help you find alternative arrangements or assist you in making a claim against the supplier, but we cannot accept responsibility for losses caused by a third party. In the eyes of the law, we act as an agent or intermediary, not as the provider of those services, and thus the provider assumes responsibility to you once services are booked.

  • Vendor Cancellation or Changes: If a third-party supplier cancels a service or is unable to fulfill their commitment (for instance, a tour operator shuts down, or a venue double-books an event date), the situation will be handled according to that supplier’s policies (they may offer a refund, a substitute service/date, or a credit). We will immediately inform you of any such development and present you with alternatives (like booking a similar service with a different provider). We’ll use our industry contacts and resourcefulness to minimize any disruption to your plans. However, any additional costs required to secure a new arrangement (if the original vendor refunds less than what a new vendor charges, for example) would be your responsibility. We strongly recommend having contingency funds in your budget for unforeseen changes, as well as travel/event insurance (see “Insurance” below) which can sometimes cover vendor no-shows or business failures.

  • Your Direct Engagements: If you decide to book any part of your travel or wedding on your own (outside of Paradise and Providence’s planning), please inform us. We need to have the full picture to coordinate effectively. Note that any arrangements you make independently are not covered by our oversight or these Terms. For example, if you book a separate tour or add a service without our knowledge, we cannot be responsible for those plans. We urge you to consult with us before making outside bookings, both to ensure coherence in the itinerary and so we can advise on reliability.

In essence, working with third-party vendors is an integral part of destination events, we cherish our partners and have strong relationships in place to benefit you. But transparency is paramount: you should understand which portions of your event/travel are provided by others and that those portions carry their own rules and risks. We will guide you through all of it with honesty and support

Cancellation, Postponement & Changes Policy

We understand that plans can change. Weddings and travel involve many moving pieces, and occasionally it becomes necessary to make adjustments. Below we outline how cancellations, postponements, or major changes are handled. These policies apply in addition to any third-party vendor policies discussed above (for instance, a hotel’s cancellation penalties or rules).

1. Cancellation by the Client (You):

If you decide to cancel the planning services or the entire wedding/event/trip, please notify us in writing (email is acceptable) as soon as possible. The date we receive your written notice will be the effective cancellation date for the purposes of applying this policy.

  • Planning Fee: As noted in the Planning Fees section, your planning fee is non-refundable in the event of cancellation. This remains true regardless of the reason for cancellation (save for the extraordinary emergency exceptions we may allow at our discretion). The non-refundable policy is necessary because substantial work will have been done by the time of cancellation.

  • Third-Party Bookings: For any travel or event bookings that have been made, we will assist you in cancelling them and seeking any available refunds per the vendors’ terms. However, you will be responsible for any cancellation penalties imposed by vendors. For example, a hotel may keep a deposit if you cancel past a certain date, or a transfer might be non-refundable but convertible to a credit. We will do our best to negotiate with vendors on your behalf. Sometimes vendors show grace, especially in compassionate circumstances, but it is not guaranteed. All funds that have been paid to vendors will be handled per their policies (we will not retain those funds except to the extent needed to cover any vendor charges if the money was routed through us).

  • Postponement vs. Full Cancellation: If you are not entirely cancelling but wish to postpone/reschedule the event or trip to a later date, please let us know. We will treat a request for postponement on a case-by-case basis. In many cases, we can apply the planning work already done (and fees paid) to your new date, provided that: (a) the vendors are able to accommodate the change (and any vendor change fees are paid by you), and (b) the new date is within a reasonable timeframe (for example, typically within 12-18 months of the original date) and our team is available on that date. We do not charge an additional planning fee for a straightforward rescheduling if the scope of the event remains the same; our goal is to be flexible and supportive. However, if the postponement becomes a cancellation later, then the original cancellation terms would apply. If you reschedule to a location or concept that is entirely different (e.g., switching from a Fiji wedding to a European cruise), that would likely be considered a new booking and may require a new planning agreement. We will clarify any implications at the time of the change.

2. Cancellation or Withdrawal by Paradise and Providence (Us):

It is extremely rare for us to cancel our services for a client, and it would only happen due to unavoidable circumstances. Examples might include a serious personal emergency on our end, unexpected unavailability (such as a sudden illness or family crisis), or, in very unusual cases, a breach of these Terms by the client that makes continued work unfeasible (for instance, non-payment or a severe breakdown of communication/respect). If we must withdraw from planning your wedding/travel:

  • We will inform you in writing at the earliest possible time and do everything in our power to minimize any disruption to your plans. This includes potentially helping you find a suitable replacement planner or providing you with all the information and contacts gathered so far so you can continue the planning process.

  • If our withdrawal is due to our own emergency or inability to perform (i.e., not due to any fault on your part), we will refund any portion of the planning fee for services not yet delivered. For example, if the cancellation happens very early and we haven’t done much planning, a significant refund may be due; if it happens later after substantial work, the refund may be minimal or none, depending on what was already completed. We will account for work hours and tasks performed in determining this. We consider it our ethical duty to be fair in such a situation.

  • If our withdrawal is due to your breach of contract or misconduct (for example, non-payment beyond reasonable grace period, or unethical/unsafe demands), then we will retain all amounts paid and no refund will be due. (Thankfully, we’ve never had this scenario, we mention it only for completeness.)

  • In either case, any contracts you have in place with third-party vendors would remain between you and those vendors. We would work to transition any vendor communications to you or your new representative smoothly.

We want to stress that cancelling on our clients is a last resort; our commitment is to see your plans through. We value the trust you place in us, and our intention is always to honor that trust wholeheartedly.

3. Force Majeure (Events Beyond Anyone’s Control):

There are some situations which neither you nor we can anticipate or prevent, often referred to as “force majeure” events. These include, but aren’t limited to: natural disasters (e.g., hurricanes, earthquakes, floods), pandemics or epidemics, travel bans or government regulations, acts of war or terrorism, significant political instability, or other extraordinary circumstances (like widespread power outages, fire, or airline strikes) that make it illegal or impossible to hold the wedding or travel as planned.

If a force majeure event occurs that significantly impacts your wedding or travel plans:

  • Notification and Mitigation: We will promptly notify each other of the situation and discuss alternatives. Our first step will typically be to postpone or adjust the plans rather than outright cancel, if at all feasible. We’ll work with you to explore available options, such as moving the event to a safer date or location, or re-routing travel. We have learned from experience (especially with events like global pandemics) that flexibility and creativity can save the day.

  • Planning Fees: Generally, our planning fee remains non-refundable even in force majeure situations, because of the work already invested. However, we commit to applying that fee to re-planning your event/travel at a later date without additional charge if a postponement is necessary due to force majeure. For example, if a cyclone closes your Fiji venue days before the wedding, we will shift into contingency-planning mode and coordinate the logistics of postponement or relocation, honoring the payments already made for our services. Only if the event is ultimately completely cancelled with no intention to reschedule might we consider any partial refunds, and that would depend on the stage of planning and specific circumstances (similar to the emergency policy above).

  • Vendor Payments: Each vendor’s force majeure clause will apply to their portion. Many vendors will offer either a reschedule without penalty or a refund/credit when an official force majeure situation occurs, but this is not guaranteed and varies by contract and local law. We will assist you in invoking force majeure clauses with vendors (providing any needed documentation, etc.). For instance, If a venue is shut down by authorities, often deposits can be moved to a new date. We will advocate on your behalf, but again, we cannot force a vendor to give a refund if their policy only allows a date change.

  • No Liability: Because force majeure events are not caused by any party’s negligence or wrongdoing, neither Paradise and Providence nor you will be held liable to the other for losses arising directly from such events. In plain terms, we won’t hold you accountable for the unforeseen volcano eruption, and you won’t hold us accountable either. However, you would still be responsible for any unrecoverable costs already incurred (e.g., if a vendor doesn’t refund a deposit, that loss unfortunately falls on the client, which is one reason we so strongly recommend insurance).

  • Travel Insurance: If you have obtained travel or event insurance (which, again, we urge you to do), such insurance may cover some of the losses related to force majeure events, depending on the policy. For example, some policies offer coverage for weather-related cancellations or pandemic-related disruptions if certain conditions are met. You will need to work with your insurance provider to file any claims, we can supply documentation or confirmation letters to support your claims if needed (e.g., a letter confirming the event was postponed due to government restrictions).

In navigating any force majeure scenario, our approach is to remain calm, adaptable, and supportive. We pledge to stand by you and help find the best path forward, drawing on both practical solutions and a perspective of faith and hope to get through the unexpected.

4. Changes & Amendments by Client:

We recognize that as plans develop, you might have changes, perhaps you want to upgrade the photography package, add an extra event, shift the timeline, or invite more (or fewer) guests. Most changes are manageable and we’ll incorporate them gladly. We do ask that any significant changes be communicated in writing (email is fine) so we can keep track and confirm our mutual understanding.

  • Scope Creep: If changes accumulate to a point where the scope of our planning services significantly expands beyond our initial agreement, we will discuss any impact on the planning fee or timeline with you. Minor tweaks are part of the process (no extra charge), but major additions (for example, suddenly planning a second reception party, or drastically changing the destination when much work has been done on the original one) might require an amendment to our agreement, possibly including additional fees due to the extra work involved. We will always discuss and agree on this before proceeding with the extra planning, so you won’t be surprised by any charges.

  • Vendor Changes: If you change your mind about a particular vendor choice (e.g., deciding to use a different florist or change the resort after deposits have been paid), let us know as early as possible. We’ll help facilitate the change, but note that the original vendor’s own cancellation policy will apply (you may lose a deposit with one vendor while having to pay a new deposit to another). We’ll advise you on the pros and cons of any such change before you make the final call. Our goal is your happiness, so we’ll support changes if they’re important to you, just be mindful of potential financial or timing impacts.

All changes, whether initiated by you or required by circumstances, will be handled with as much flexibility and grace as possible. We understand the emotional investment in a wedding or big trip and want the planning to remain as stress-free as it can be, even when adjustments are needed

Travel & Wedding Insurance

We strongly recommend that all clients purchase comprehensive travel insurance and/or wedding/event insurance. This cannot be overstated, having good insurance is a crucial safety net that protects your investment in case the unexpected happens.

  • Coverage Scope: Ideally, your insurance should cover trip cancellation, trip interruption, medical emergencies (including overseas medical coverage and evacuation, if relevant), lost or delayed baggage, flight delays, and even event-related losses (for example, damage to wedding attire, lost deposits due to vendor no-shows, or severe weather causing cancellation). There are specialized insurance policies for weddings that can cover things like a vendor going out of business or a key person (bride/groom or immediate family) falling ill on the big day. Travel insurance policies vary, but many offer tiers of coverage, we suggest opting for “cancel for any reason” upgrades if available, as they provide broader protection.

  • Why It’s Important: While we always plan for success and joy, certain things are simply beyond our control (as outlined in the Force Majeure section and vendor disclaimer). Insurance is the mechanism by which you transfer the risk of financial loss to an insurance company. For example, if a close family member suddenly has a health emergency and you must postpone the wedding, travel insurance might reimburse non-refundable airline tickets or hotel deposits. If a bag with wedding rings and attire is lost in transit, insurance can help cover the replacement costs. If a storm forces the event to be rescheduled, insurance can help recoup some of the lost payments. It offers peace of mind amid uncertainty.

  • Responsibility: It is ultimately your decision and responsibility to purchase insurance. We are not licensed insurance agents, and we do not sell insurance directly. We can refer you to reputable third-party insurers or provide general information about types of coverage to consider, but we cannot advise on the specifics of policy terms or guarantees of coverage. Be sure to read your policy documents carefully (particularly the exclusions and claim procedures) or discuss with a professional insurance advisor to ensure you get the coverage that fits your needs. If you choose to decline insurance, you are assuming the risk for any losses that could have been covered. Paradise and Providence will not be liable for any loss that would have been covered by a readily available insurance policy had you chosen to purchase it.

  • Proof for Travel: Note that some destinations (including, at times, certain Pacific islands or countries) may require proof of travel medical insurance or COVID-related coverage as a condition of entry. This is another reason to secure travel insurance well ahead of your trip. We will inform you if we are aware of such requirements for your destination, but it’s wise to double-check government advisories.

  • Documenting Issues: In the unfortunate event that you need to make an insurance claim, we will help by providing any necessary documentation about bookings, payments, or circumstances (for instance, letters confirming an event was cancelled due to government orders, receipts for payments made, etc.). We want you to be able to recover as much as possible through your insurance if something goes awry.

In short, investing in insurance is investing in peace of mind. It is a relatively small cost in proportion to the overall wedding or travel budget, but it can save you from major financial heartache. We have seen firsthand the difference it makes for our clients who face the unexpected. So please, travel wisely and insure your dream event. It’s part of taking care of your family, your guests, and yourself

Limitations of Liability (Our Liability to You)

Paradise and Providence ensures to deliver our services with reasonable care, skill, and good faith effort. We truly care about your experience and will go above and beyond to make it wonderful. That said, we need to make clear the limits of our liability in the event something does not go as planned. In legal terms, this section explains the extent to which we would compensate you (or not) for losses or damages incurred.

Acknowledgement of Risk: Destination weddings and travel inherently carry some risks, from minor inconveniences to major events, and by engaging our services, you acknowledge and accept that not every aspect is within our control. We facilitate and plan, but we do not physically operate tours, fly planes, run hotels, control the weather, etc. By understanding this reality, we can work together in good faith and with realistic expectations.

Limitation of Liability: If we are found liable for any claim arising out of our services, our liability shall be limited to the amount of fees you paid us for those services. In other words, the maximum compensation for which we could be responsible is the value of our planning fee (this does not include monies paid to other vendors, since those are not our fees). This limitation applies to any and all claims, whether based on breach of contract, tort (negligence), or other grounds. Additionally, to the fullest extent permitted by law, Paradise and Providence will not be liable for:

  • Indirect or Consequential Losses: We are not responsible for indirect losses or damages such as lost profits/revenue, loss of enjoyment, emotional distress, or opportunity costs that may result from a disrupted event or trip. For example, if a flight cancellation causes you to miss a pre-paid tour, we’ll help rearrange things but will not be paying out-of-pocket for the missed experience; your travel insurance or the airline’s policies would need to address that.

  • Third-Party Acts or Omissions: As noted earlier, we cannot be held liable for the actions, negligence, or failures of third-party suppliers. If a caterer fails to deliver food, if a makeup artist doesn’t show up, if an airline loses luggage, or if a hotel has maintenance issues, those are issues to be resolved with the responsible vendor. We will assist you in seeking remedies, but we are not financially liable for their mistakes or misconduct.

  • Personal Injury or Property Damage: You and your guests participate in travel activities or wedding events at your own risk. Paradise and Providence does not provide the physical services (like driving the shuttle or operating adventure tours); thus, we are not liable for personal injuries, illness, property damage, theft, or accidents that may occur during travel or at the wedding/event. For instance, if a guest is injured while snorkeling on a tour we arranged, any claim would need to be directed to the tour operator or your travel insurance. We strongly encourage all guests to exercise caution and follow safety instructions from local providers.

  • Unforeseen Events (Force Majeure): We are not liable for disruptions or losses due to events beyond our control, as detailed in the force majeure section, things like natural disasters, pandemics, sudden regulatory changes, etc., while unlikely, are not something we can be held accountable for in terms of damages. These are risks that should be mitigated through insurance and flexible planning, rather than through liability on our part.

  • Client’s Own Failures: If you fail to meet your obligations (for example, not obtaining a required visa or not making a payment on time) and that causes a problem (like you can’t travel or a reservation is lost), Paradise and Providence is not liable for the outcome. We do our best to remind and guide, but ultimate responsibility lies with you to follow through on requirements. Similarly, if you choose to ignore our advice on a critical matter and that leads to an issue, you assume responsibility for that decision.

  • Consequential Damages and Punitive Damages: In jurisdictions where it’s relevant, we as the service provider will not be liable for any punitive or exemplary damages, nor any consequential losses beyond the direct cost of services. This is basically a reiteration that our liability is capped and does not extend to punish or cover wide ripple effects.

Indemnification: You agree that in the unlikely event Paradise and Providence incurs any loss, damage, or expense (including legal fees) as a result of a claim from a third party attributable to your actions, omissions, or violation of these Terms, you will indemnify and hold us harmless. For example, if you provide us with incorrect information and that causes a vendor to incur costs or legal issues that come back to us, you would compensate us for that. Likewise, if you (or your guests) cause damage at a venue and the venue demands we pay for it, you will cover those costs. We certainly don’t anticipate such issues, and we find that clear communication prevents problems, but this provision ensures fairness and protection on both sides. (Note: We, in turn, affirm that we carry our own liability insurance and will take responsibility for any claims directly resulting from our own errors or negligence in performing our services.)

No Warranty for Uncontrolled Circumstances: While we guarantee we will put forth our best efforts and professional expertise, we cannot warrant or guarantee that everything will go perfectly, because some elements are beyond our warranty. For instance, we can’t guarantee that a particular sunset wedding will indeed have a golden sunset (we wish we could control the weather!), or that a flight will depart exactly on time, or that there will be absolutely no hiccups. What we can assure you is that we will respond quickly and diligently to any issues, and use all our resources and care to correct course if needed. Our promise is service-oriented, not outcome-guaranteed, given the nature of world events and third-party involvement.

Legal Protections: Nothing in these Terms is meant to contradict or take away any rights you have under applicable law (for instance, consumer protection laws that may not be waivable). Some jurisdictions have laws that do not allow certain liability exclusions or damage waivers. We are not attempting to override any such laws, these Terms will be adjusted in their interpretation to comply with prevailing law. However, in jurisdictions that do allow limitations of liability, we will enforce ours as stated. The phrase “to the fullest extent permitted by law” is applied to all the limitations above.

Ultimately, our relationship is built on trust and mutual respect. These legal details are here not because we anticipate problems, but because clarity is part of caring for our clients. We want you to feel secure knowing that we have thought through the “what ifs” and that we operate in a professional, responsible manner. Photography, Video & Media Release

We adore celebrating the love stories and joyous journeys of our clients! From time to time, we may request to use photographs, videos, or testimonials from your wedding or trip to share the magic with others. This might include featuring a few of your wedding photos on our website’s portfolio or writing a blog post about your unique experience, possibly accompanied by quotes from you or your guests about the day. We understand that privacy is important, so here’s how we handle this:

  • Your Permission: We will always ask for your permission before publishing any identifiable photos or details of your wedding/event. Typically, after your wedding, if appropriate, we might reach out to you (or your photographer) to obtain some images and ask if you’re comfortable with us sharing them. If you say no or feel uncomfortable for any reason, we will fully respect that, no questions asked. You are in control of what personal content (if any) we share publicly.

  • Respect and Anonymity: If you do grant permission, we can discuss whether you’d like names or certain details omitted. For example, some couples are fine with first names and the venue being mentioned, while others prefer to remain anonymous (“A lovely couple from Auckland married in Fiji…”). We will also make sure that any vendors or creative partners who contributed (photographer, florist, etc.) are properly credited in posts, sharing the love extends to giving credit to all who made your day special.

  • Usage Scope: With your consent, the types of media usage could include our official website, our social media accounts (Facebook, Instagram, etc.), and possibly in printed promotional materials or inspiration guides for other clients. We would use the content solely to highlight our services and the beautiful outcomes of our collaborations. We will not sell your wedding photos or use them in any way outside the promotion of Paradise and Providence.

  • No Obligation or Pressure: We mention this in our Terms simply to be transparent about the possibility. You are not obligated to allow any media sharing. Many of our clients are excited to be featured and help inspire future couples, but we completely understand and honor if you prefer to keep things private. Your comfort comes first.

  • Testimonials: Separately from images, if you provide us a written or verbal testimonial about our services, we may ask to quote it on our website or marketing materials. Again, we would seek permission and discuss how you’d like to be identified (e.g., “–J.S., 2025 bride from Queenstown”).

By default, we will assume everything is private unless and until you give us the green light to share specific aspects. Feel free to decline or place limits, it will not affect how we treat you as our valued client in any way. And if you do agree, thank you for helping us spread the word in a heartfelt way! We take pride in our work, and there’s nothing like real stories and images to convey what we do to future clients

Privacy & Data Protection

During the course of planning, we will collect some personal information from you, such as your contact details, wedding/event details, and necessary travel information (e.g., full names as per passports, etc. for bookings). We handle all personal data with care and confidentiality. Key points about privacy:

  • We will use your information only for purposes of planning and executing your wedding and travel arrangements (which includes sharing relevant details with vendors on a need-to-know basis, like giving a hotel your name for a reservation, or providing a caterer with your menu selections).

  • We will not sell or share your personal details with any unrelated third parties for marketing or other purposes without your explicit consent.

  • We maintain secure records of your information and limit access to those in our team or partner agencies who need it to perform their duties for your event.

By engaging our services, you consent to our use of your data in the manner described above, which is solely to serve you. We treat your information as we would want our own to be treated, with respect and confidentiality

Governing Law & Dispute Resolution

Paradise and Providence is a business founded in New Zealand. We remain committed to operating under principles of fairness and good faith in all jurisdictions. For now, unless otherwise required by local law, these Terms and any agreements with our clients shall be governed by the laws of New Zealand. By agreeing to these Terms, you consent that any disputes or legal matters will be resolved under New Zealand law.

  • Jurisdiction: In the unlikely event of a serious dispute that cannot be amicably resolved between us, you agree that the courts of New Zealand shall have jurisdiction to adjudicate the matter. (If you are based in another country or the event is in another country, this does not necessarily grant those local courts jurisdiction over our agreement, except as consumer protection laws may mandate.) We specify New Zealand due to our current base of operations and legal registration.

  • Amicable Resolution: That said, our sincere hope is to never see a courtroom or formal legal dispute with a client. We value the relationships we build and prefer to solve issues through discussion, mediation, or other informal means if at all possible. In the heart of Pacific values where conflicts are often resolved through open dialogue and mutual understanding, we pledge to address any concerns you raise earnestly and compassionately. We ask that you also bring any grievances to our attention promptly, and give us a chance to work things out with you in good faith before pursuing any legal remedy.

  • Consumer Rights: We acknowledge that you may have certain inalienable consumer rights under the law that apply regardless of what these Terms say (for example, New Zealand’s Consumer Guarantees Act, or similar laws in other countries if applicable). Nothing in these Terms is intended to reduce or remove any protections you’re entitled to under law. Rather, these Terms operate alongside those rights. If any part of these Terms is found to conflict with mandatory law, that part shall be deemed modified or severed to align with the law, and all other parts remain in effect.

  • Notification of Changes: If the changes are significant or alter your rights or obligations in a substantial way, we will make an effort to notify you directly (for example, via email or a prominent notice on our site) in addition to updating the web page. Minor tweaks or clarifications might be updated simply with the new effective date.

  • Your Continued Engagement: By continuing to use our website or services after an updated set of Terms has been posted, you will be deemed to have accepted the changes. If you do not agree with any update, you must inform us and (if you are a current client) you may terminate our engagement subject to the cancellation policy at that time.     Future U.S. Operations: As we establish a presence in Hawai‘i, U.S. law (particularly Hawai‘i state law or relevant U.S. federal law) may become applicable to services rendered there. If you are engaging our services through a U.S. branch in the future, we will make that clear and adjust the governing law accordingly in an updated Terms document. Absent such specification, assume New Zealand law governs

    We may update these Terms and Conditions from time to time as our business evolves or as laws change. The latest version will always be posted on our website with the “Last Updated” date at the top.

    Acceptance & Acknowledgment

    By using the Paradise and Providence website or engaging our destination wedding and travel planning services, you indicate your acceptance of these Terms and Conditions. You confirm that you are at least 18 years of age and legally able to enter into this agreement. If you are arranging services on behalf of a group, you also agree to convey relevant terms to your group members (for example, informing your guests of cancellation policies or required travel documents) such that they understand their responsibilities.
